Whether you know it or not your business voicemail is a part of your business image. How professional is your voicemail message? Make sure that it is professional and up to date. Nothing SCREAMS “LOW BUDGET SMALL BUSINESS” to your customers like an unclear, non-professional tone, poor grammar outgoing message on a cheap answering machine.
If you can, upgrade to a professional answering service from your local phone company or another professional answering service. If you can’t, then create your own voicemail message but be professional about it. Instead of trying to save a few bucks, upgrade to a top quality machine with great recording quality. Take time to write down a good quality message before you record it. Read it aloud to yourself or others just to see how it sounds before you record it.
Keep your voicemail messages current, don’t talk about past summer sales in December. You can state what business sales that you have going on now, what you will have or none at all. Most of all keep it quick, short, simple, to the point and above all, professional in tone and grammar.
Also, on your answering machine let customers know if you had to leave for an emergency or close for the day. Most customers would be more forgiving if you mention on your voicemail that you are not available due to an emergency or state that your business will be closed for a certain number of days. You could also mention how soon you will be able to return or how soon you will return phone calls.
It makes a big difference in a company’s image with potiential clients. A professional voicemail can be an essential part in company branding, if you create your own voicemail messages or have them done for you.
